Owner & staff handbook

Everything you can do with GlamPOS.

From your first check-in to payroll on Friday — a plain-language walkthrough of every feature, plus answers to the questions that come up most.

iPhone & iPad app Web app · glampos.app Customer check-in kiosk
How to read this guide Labels shown like Sign In are buttons you tap. Coloured tags flag when a feature needs a certain plan — Plus Pro — or a staff permission, e.g. Process checkout, or is Owner only. The grey dashed boxes are where you can drop your own screenshots.

Getting started

Create your account, then set up your salon. Takes about two minutes.

Create your account

On the login screen tap Create an account. Sign-up asks one thing per screen, with a progress bar across the top:

  1. Name — your full name.
  2. Email — you'll sign in with this.
  3. Password — at least 6 characters (tap the eye to reveal what you typed).
  4. Phone — optional. Leave it blank and the button becomes Skip & Create Account; enter a number and it becomes Send Code, which texts a 6-digit code to confirm. Your phone is only ever used to verify or recover your account — never to log in.

Prefer Google? Tap Sign up with Google on the first screen to create your account in one tap.

Set up your salon

After your first sign-in you'll land on "Let's set up your salon."

  1. Tap the storefront circle to add your logo (optional).
  2. Enter your Business Name.
  3. Tap Address and search — it autocompletes real addresses.
  4. Enter your Phone, then tap Create salon.

Advanced roles & permissions

Manage your plan under Account → Subscription (app) or the Billing page on glampos.app. The banner shows your status, renewal date, location limit, and — on Pro — SMS credits left.

The "managed where it started" rule A subscription you start in the app is billed through the App Store; one you start on glampos.app is billed through Stripe. You can only change a plan where it began. If it's web-managed, the app shows a "Managed on the web" banner; if it's App-Store-managed, the website shows a "Managed through the App Store" notice.

SMS credits

SMS top-up packs are one-time purchases that never expire and kick in after your monthly allowance runs out. Buy them with Buy SMS Credits.

The app and the website organise the same features a little differently. Here's the map.

On iPhone & iPad — four tabs

Queue 👥Staff 🗂Customers ⚙️Settings

On the web (glampos.app) — a full tab bar

The website shows more tabs directly: Queue · Turns · Staff · Clients · Rewards · Appointments · Reports · Marketing · Settings. Same features, laid out flat instead of grouped.

Good to know Tabs only appear if your role has permission for them. A technician who can't view payroll simply won't see the Reports tab. So your screen may show fewer tabs than a co-worker's — that's by design.

Check-in & the Queue

The Queue is your live list of everyone waiting or in service. Three ways to get a customer onto it.

What a queue card shows

Each card gives you the customer's name, a status badge (New / Regular / VIP), their points, a masked phone with how long they've waited, their chosen services, and technician avatars. Tap the card to start checkout; tap the pencil to change their services or tech.

Three ways to check someone in

1 · Walk-In Manage queue

On the web Queue, tap Walk-In, enter the Phone Number (and a Name for new customers), then Check In. If the phone matches an existing client, their name, points, and status come back automatically.

2 · Scan Ticket

Tap Scan Ticket and scan the ticket's QR code with a USB/Bluetooth scanner (it types the code for you), or type it in and tap Find Ticket. It jumps straight to that customer's checkout.

3 · Customer self-check-in (kiosk)

Customers check themselves in on a dedicated device — see Customer Mode kiosk.

Sorting & filtering the queue app

Editing a customer's services & techs

Tap the pencil on a queue card to open Edit Services & Techs. Toggle services on/off (prices shown) and pick technicians — grouped into Available (checked-in) and Not checked in. Changes save when you tap Done. On the web you'll also see an Up next suggestion following the turn rotation, and a Remove from Queue button.

Checkout

A focused, full-screen sale. Tap a queue card to open it. Two panes: the customer & order on the left, the amount keypad on the right.

Building the sale

  1. Confirm or adjust the amount. Tap Use Suggested: $X to fill in the total of the selected services, or type an amount on the keypad.
  2. Add a Tip if the customer is tipping now — it goes 100% to the tech and is tracked separately from your revenue. (If the customer added a tip on the customer-facing display, it fills in here automatically.)
  3. Apply any rewards or points (see below), or a gift card.
  4. Watch the Order Summary: Subtotal, minus rewards/gift card, plus tip, then Total Due and "Earns N points."

Rewards, points & gift cards

Taking payment

When there's a balance due, you'll see three buttons:

ButtonWhat happens
CardCharges the connected Square Terminal (service + tip + any card fee). If no terminal is set up, records it as a card sale.
CashCompletes immediately and pops the cash drawer (if a printer/drawer is paired).
OthersOpens custom methods you've set up (CashApp, Venmo, Zelle, PayPal, Check), an Other option, and Split Payment.

If rewards or a gift card cover the whole balance, you'll instead see a single Complete Checkout button.

Split payment

From Others → Split Payment, add a line per method (Cash, Card, or a custom method) with an amount — tap All to allocate the remainder. When it reads "Fully allocated," tap Complete Split.

Assigning commission

When the sale finishes:

Manager approval If the person ringing up the sale doesn't have the Process checkout permission, a Manager Approval PIN pad appears before the sale can complete. Nothing else changes about the flow.

After the sale

One tap completes everything — money, points, and commission are all written at once, the receipt prints automatically (if a printer is paired), cash sales pop the drawer, the sale is recorded in your history and audit log, and you're returned to the Queue.

Turns (rotation) Pro

A fair walk-in rotation across your technicians. Turn it on in Settings, then find the board on the Turns tab (web) or inside the Staff tab (app).

How the rotation fills

Technicians join the rotation automatically when they check in for the day. The board header shows "Rotation · Today" and a live count of who's working right now.

What each tech row shows

Working the board

Reordering the rotation Drag a tech to a new spot to rearrange. The first time you do this each day, a manager or owner PIN is required to Approve it — after that, drags don't re-prompt.

Clients & history

Every customer captured at your salon, with their points, visits, and spend. Found on the Clients tab.

The client list

Each row shows initials, name, masked phone, a NEW / REGULAR / VIP tier (set automatically from visit count), and three numbers: PTS, VISITS, SPENT. Search with Search by name or phone…

A client's profile

Tap a row to open their profile: avatar, name, phone, birthday (if known), and three stat tiles — Points, Visits, Spent. Below, Past visits lists each visit with services, date, technician, and amount. The one action here is Give Reward Manage rewards — see Rewards.

Where do client names & birthdays come from? They're captured at check-in (or self check-in at the kiosk), not typed into an "edit client" form. A customer's birthday enables their birthday reward automatically.

Salon-wide history View sales reports

The History view is a feed of every completed sale. Filter by date range (This week / This month / All time), by technician, or by search. Visits group by day. Tap any visit for Visit Details: check-in and checkout times, services, techs, and a full Payment Summary (amount, reward applied, gift card, tip, card fee, points earned, method). Card sales link to the Square receipt.

Editing a tip split Edit past visits

For a past visit with two or more techs, open it and tap Edit tip split (PIN), enter a manager PIN, adjust each tech's tip, and Save Tip Split. (This permission is off by default and must be granted.)

Rewards & loyalty

Customers earn 1 point per $1 they pay. Rewards can be automatic (birthday, retention, points) or hand-issued.

Set up your reward programs

In Rewards, tap the gear on the scanner card to open Reward Settings:

For each, choose a fixed dollar amount or a percentage off, then Save.

Issue rewards with the daily scan

  1. On the scanner card, tap Run Scan. It finds everyone eligible for a birthday, retention, or points reward right now.
  2. Review Rewards opens with every candidate pre-selected. Toggle any off, or use Select All / Deselect All.
  3. Tap Issue N Rewards. Nothing is created until you confirm here.

Plus Pro With SMS available, Issue & Text N Customers issues the rewards and then texts those customers (opted-out numbers are skipped, and a "Reply STOP to opt out." line is added).

Give a custom reward

From a client's profile, tap Give Reward, enter a Reward Name, choose Fixed $ or % off, enter the Value, and tap Create Reward.

Rewards are redeemed at checkout (needs Redeem rewards).

Gift cards Plus Pro

Sell, check, batch-generate, and print branded gift cards. Most actions need Manage gift cards; design & sharing are owner-only.

Sell or activate a card

  1. Tap Sell / Activate, then scan or type the card number and tap Find Card.
  2. Enter an Amount and optional Recipient, choose Card or Cash.
  3. Tap Sell Gift Card and enter a manager PIN to approve. Card payments run through the Square Terminal (value only loads if the payment succeeds).

Check a balance

Tap Check Balance, scan or type the number, enter the card's PIN if it has one, and view the balance plus recent activity.

Generate a batch

Tap Generate Batch, pick a quantity (1–500), and tap Generate N Cards. New cards start at $0 and get their value when sold.

Design & print Owner

Tap Design to open Gift Card Design — preview front/back, pick from 10 layouts, set your accent colour, tagline, which fields print, terms, paper size, and card/PIN number lengths, then Save Design. To print, tap Print in the card list, select cards (or a quick-select like Last 25), and choose Print Fronts, Print Backs, or save as PDF.

Multi-location owners Gift Card Sharing lets one card work across all your locations, with per-location toggles to exclude a store if you'd rather keep its cards local.

Appointments Plus

A day calendar with a column per technician plus an "Any Tech" column and a live current-time line.

Book & edit

Tap an empty slot to open New Appointment. Choose technician(s) — Open (Any) or specific techs — pick or create a client, add services (which auto-sizes the length), set the time, add notes, and Save. Tap an existing appointment to edit or delete it. Managers need Manage appointments.

Booking requests

Requests from your online booking page arrive as pending appointments. The calendar shows an amber "N request(s)" pill; open a request and tap Confirm or Decline. Linked technicians can also confirm requests assigned to them from their My Day portal.

Online booking

Let customers request appointments themselves, 24/7. Set it up from the calendar's Online Booking button.

Turn it on & claim your link

What customers see

Your booking page walks them through: phone → name → choose technician(s) (with a "You saw them last" hint) → pick a date (only open days) → pick a time (only slots where the chosen techs are all free) → Request Appointment. If they don't have your link, they can tap Use my location to find nearby salons.

Text reminders Pro SMS booking confirmations and reminders to customers require Pro. On other plans, booking still works — you just confirm requests in the Appointments tab.

Customer Mode kiosk

Turn a spare device into a self-service check-in station customers use themselves.

What the customer does

They tap in their phone number and tap Check In. New customers add their name, birthday, and optional email, and can opt in to "Text me my rewards!" (unchecked by default). Returning customers are greeted by name and can pick services/tech. A small Privacy Notice link sits at the bottom.

Locking & unlocking the device Owner

  1. Long-press the (invisible) top-left corner for about 2 seconds.
  2. Tap Lock — the device stays in Customer Mode even after a restart, and only an owner PIN can exit.
  3. To exit, long-press the same corner and enter the owner PIN.

Staff & permissions

Add technicians, invite managers, set PINs, and control exactly what each person can do. Found on the Staff tab; managing needs Manage staff or owner.

Add a technician

Tap + Add Technician, enter a Name (required) plus optional email, phone, photo, and avatar colour, then Add Technician. Active techs count toward your plan's per-location limit.

Invite a manager Owner Plus

Tap Invite Manager, enter their email, and Send Invitation. They accept next time they open GlamPOS with that email. (Managers aren't available on Free.)

Set a login PIN & permissions Owner

On a staff member, tap PIN & Permissions:

Pay & commission (PIN-gated)

A tech's pay is behind a lock — tap it and enter a PIN to view or edit their Commission % (default 60%) or a Fixed daily rate.

Daily check-in

Each tech row has an In / Out toggle. Marking a tech In for the day feeds the queue, the turn board, and their own portal.

The "My Day" technician portal

A technician with a linked account gets a focused portal instead of the full POS, with four tabs:

Payments

Connect a card terminal, add a card fee, and set up QR payment methods. Found in Settings → Payments.

Connect a Square Terminal

  1. Tap Sign in with Square and authorise.
  2. Tap Load Locations and select yours.
  3. Tap Generate Pairing Code and enter that code on the Square Terminal (it expires in 5 minutes).
  4. Tap Check Connection to confirm.

Card transaction fee

Toggle Charge a card transaction fee and set a pass-through percentage (default 3%). It's shown to customers at checkout and never applies to cash.

Custom payment methods

Tap Add payment method, choose CashApp / Venmo / Zelle / PayPal / Check, add a label, and upload the QR image customers scan. Each appears under Others at checkout.

Payroll & commission Plus Owner / View payroll

Commission is recorded on every sale. Run a report for any date range.

Each tech earns commission at their rate (default 60%) plus 100% of tips. Open Payroll, pick a From / To range, and tap Run Report. Each tech card breaks pay down by day; tap a day to see the customers worked. Where a tech has a fixed daily rate, the day pays whichever is higher (commission vs. fixed), with an Exclude fixed rate option for short days. Pay figures are PIN-gated on locked devices.

Marketing Send marketing SMS

Email and text your customers, and gather reviews. Three sections: Email, SMS, and Reviews.

Email broadcast Plus

Pick segments (VIP / Regular / New), write a Subject and Message, Send Test to Myself first, then Send to N Clients. An unsubscribe footer is added automatically.

SMS broadcast Pro

Write a message (up to 320 characters) and Send SMS Broadcast. Opted-out customers are skipped automatically, and STOP replies are always honoured. Your SMS balance and a Buy SMS Credits button are shown.

Review requests Pro

Save your Google / Yelp / Apple Maps / Facebook review links and a primary platform, select customers, and Send Review Requests. Customers get a "How was your visit?" text; happy replies receive your review link.

Reports & history View sales reports

See what you sold and who worked it.

Reports shows your sales over any date range. For the full visit-by-visit feed with payment details and Square receipts, use the History view described under Clients & history. Every completed sale is also written to an audit log (who did what, when) that owners can review.

POS device lock

Lock a shared iPad into POS mode so staff sign in with a PIN and can only reach the features you allow.

  1. In Settings → Lock Device to POS, name the device (e.g. "Front Desk iPad").
  2. For each feature, choose to show or hide it, and optionally require a manager PIN to open it.
  3. Tap Lock to POS. Now staff need their PIN to use the device, and only an owner/manager PIN exits the lock.

Owner POS Devices lists every locked device with its status and last-seen time. Tap one to rename it, change its features, unlock it remotely, or remove it. Changes sync to the device live.

Printing

Pair a Raspberry Pi print server to auto-print receipts and tickets and pop the cash drawer.

In Settings → Print Server, tap Pair a Print Server and enter the Device Code and PIN printed on the Pi. Once paired, receipts print automatically after each checkout. The status card shows an Online/Offline dot, and buttons let you Test: Open Cash Drawer, refresh, or unpair.

Account & settings

Your profile, look and language, and legal.

Importing your data

Moving from another POS? We can bring your customers, points, rewards, and visit history across.

Send us your old system's export and we'll convert it and import it for you. The key thing to know: imported points and rewards are held "pending" — they're not usable until each customer confirms the transfer at their first check-in. On that visit, Customer Mode shows a "Your rewards are moving with us" screen with their points and rewards, and two choices:

In your Clients list, imported customers who haven't checked in yet show a "Pending import" badge so your staff know the balance isn't live yet.

Frequently asked questions

Quick answers to the things that come up most.

Getting started & billing

Is GlamPOS really free to start?

Yes. The Free plan includes the full POS, checkout, payments, online booking, and loyalty points for up to 6 technicians per location. You only need to upgrade for managers, gift cards, payroll, or customer SMS.

I subscribed in the app but can't change my plan on the website (or vice-versa). Why?

A subscription can only be changed where it started. App subscriptions are billed through the App Store and managed in the app; website subscriptions are billed through Stripe and managed on glampos.app. You'll see a banner telling you which one applies.

Do SMS credits expire?

No. Top-up SMS packs are one-time purchases that never expire. They're used after your monthly SMS allowance (on Pro) runs out.

Can I run more than one salon on one account?

Yes — plans are sold in 1, 3, 5, and 10-location tiers. Switch between your locations from the dashboard (All businesses).

Front desk & checkout

How does a customer get into the queue?

Three ways: a staff member taps Walk-In and enters their phone; you Scan Ticket; or the customer checks themselves in on a Customer Mode kiosk device.

Can a technician ring up a sale without a manager?

Only if they have the Process checkout permission. If they don't, a manager PIN pad appears at the end of the sale to approve it — everything else works the same.

How are tips handled?

Tips go 100% to the technician and are tracked separately from your service revenue. If a customer adds a tip on the customer-facing display, it fills in automatically at checkout.

What's the card fee, and who pays it?

It's an optional pass-through percentage (default 3%) you can add to card payments only — never cash. It's shown to the customer at checkout. Turn it on under Settings → Payments.

Can a customer split payment across methods?

Yes. At checkout tap Others → Split Payment and add a line per method (cash, card, or a custom method like Venmo) until the balance is fully allocated.

How do points work?

Customers earn 1 point for every $1 they actually pay (including gift-card-funded amounts). Points show on their profile and queue card, and can be redeemed for a reward at checkout once they hit your points threshold.

Rewards & gift cards

Do birthday and retention rewards send themselves?

They're generated automatically when eligible, but nothing is issued until you run the Run Scan and confirm — so you always review before rewards go out. On Plus/Pro you can issue and text customers in one step.

Can one gift card be used at all my locations?

Yes, if you turn on Gift Card Sharing (owner setting). You can exclude specific locations so their cards stay local.

Why does a card payment for a gift card sometimes fail to load value?

Gift card value only loads if the card payment actually succeeds on the Square Terminal — that's intentional, so you never sell value you didn't collect.

Turns & staff

How do technicians join the turn rotation?

Automatically — when a tech checks in for the day (the In/Out toggle), they enter the rotation. Turns is a Pro feature and must be enabled in Settings.

Why can't I rearrange the rotation?

Reordering needs the Manage turns permission plus a manager/owner PIN the first time each day. After you approve it once, further drags won't re-prompt.

What can a technician see when they log in?

A linked technician gets the focused "My Day" portal — check-in, their schedule, their history, and their own pay — not the full POS. Managers and owners see the full app.

A manager can't see Reports or Payroll. How do I fix that?

Give them the View sales reports and/or View payroll permissions under PIN & Permissions. Tabs only appear for staff who have permission for them.

Devices, printing & kiosk

How do I lock an iPad so staff can't leave the POS?

Use Settings → Lock Device to POS. Staff then sign in with a PIN, only see the features you allow, and only an owner/manager PIN can exit the lock.

How do I exit Customer Mode on a locked kiosk?

Long-press the invisible top-left corner of the screen for ~2 seconds and enter the owner PIN.

Do I need a special printer?

Receipt printing runs through a Raspberry Pi print server that you pair with a device code and PIN. Once paired, receipts print automatically after checkout and you can pop the cash drawer. Everything works fine without a printer too — it just won't auto-print.

Online booking & privacy

What's an @storename, and can I change it later?

It's a short, permanent handle for your booking link (e.g. glampos.app/book?storename=glowbar). It's set once and can't be changed, so pick carefully — this keeps shared links from ever breaking.

Will customers get text reminders for their bookings?

SMS booking confirmations and reminders require the Pro plan. On other plans, booking still works — you just confirm requests in the Appointments tab.

A customer wants their data removed. What do they do?

If their data was imported and they haven't activated it, they can tap Delete my data instead on the transfer screen at check-in. For general privacy questions, your Privacy Policy is linked in Account → Legal and on the kiosk.

Switching to GlamPOS

Can I bring my customers and points from my old system?

Yes. Send us your old POS's export and we'll convert and import it. Imported points and rewards are held pending until each customer confirms the transfer at their first check-in — so nothing is spent by accident during the switch.

This guide reflects GlamPOS as of your current version. Features marked Plus or Pro require that plan; those marked with a permission or Owner depend on your role. Wording and a few labels differ slightly between the iPhone/iPad app and the website — the features are the same.
